We are seeking a highly organized and proactive Executive Operations Coordinator to join our dynamic team. In this role, you will be the backbone of our daily operations, ensuring seamless communication, efficient scheduling, and timely execution of administrative tasks. Key Responsibilities:
Administrative Support:
Manage calendars, schedule meetings, and coordinate appointments.
Prepare and edit correspondence, reports, and presentations.
Maintain an organized filing system (physical and digital).
Communication Management:
Act as the first point of contact for internal and external communications.
Screen and prioritize emails, calls, and messages.
Draft and distribute official communications on behalf of executives.
Event Coordination:
Plan and coordinate internal meetings, events, and workshops.
Handle travel arrangements, itineraries, and accommodations.
Ensure meeting agendas, materials, and logistics are well-prepared.
Operational Efficiency:
Oversee office supplies and manage procurement.
Collaborate with various departments to streamline workflows.
Track and follow up on pending tasks to ensure deadlines are met.
Confidentiality and Professionalism:
Handle sensitive information with the utmost discretion.
Uphold company policies and represent the organization professionally.
Qualifications:
Bachelor’s degree in Business Administration, or a related field, or equivalent experience.
Proven experience as a secretary, administrative assistant, or similar role.
Proficiency in MS Office Suite and other relevant tools.
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
Ability to work independently and handle multiple tasks simultaneously.
