Position Overview:
The Secretary will play a crucial role in the smooth operation of our center. The ideal candidate is a proactive, detail-oriented professional who can handle multiple tasks efficiently. You will be responsible for managing daily office activities, client communications, scheduling, and providing support to the administrative and therapeutic teams.
Key Responsibilities:
• Front Desk Management:
• Greet clients and visitors with a positive, helpful attitude.
• Answer phone calls and handle email inquiries promptly and professionally.
• Manage client check-ins and ensure they have completed the necessary intake forms.
• Scheduling and Calendar Management:
• Coordinate and manage appointments for therapists using the Jane app.
• Confirm client bookings and send reminders to reduce no-show rates.
• Assist in rescheduling and follow-up as needed.
• Document Management:
• Maintain client records, ensuring confidentiality and proper documentation.
• Prepare, organize, and file documents related to client sessions and administrative tasks.
• Assist in the preparation of reports and presentations.
• Communication:
• Serve as the primary point of contact for clients, providing information about services and guiding them through the booking process.
• Handle client inquiries on social media and WhatsApp, ensuring timely responses.
• Assist in coordinating communications between the admin, therapists, and clients.
• Office Coordination:
• Manage office supplies and place orders as needed.
• Assist in organizing team meetings and events.
• Handle basic bookkeeping tasks, such as processing payments and maintaining transaction records.
Qualifications:
• Proven experience as a Secretary, Administrative Assistant, or in a similar role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with scheduling software (Jane app experience is a plus).
• Excellent verbal and written communication skills in both Arabic and English.
• Strong organizational and time management skills.
• Ability to handle sensitive information with confidentiality and professionalism.
• Friendly and approachable demeanor, with strong customer service skills.
