Job Description & Responsibilities:1.tMeeting and Appointment Coordination:otSchedule and coordinate meetings and appointments for the maintenance team.otEnsure timely reminders and follow-ups.2.tSupervisor Coordination:otFacilitate communication between the maintenance team and supervisors.otProvide updates on ongoing projects and tasks.3.tCommunication Management:otAnswer and direct phone calls in a polite and friendly manner.otHandle incoming and outgoing correspondence, including s.otServe as a liaison between internal departments and external clients.4.tCorrespondence Handling:otManage and prioritize incoming and outgoing mail and packages.otDraft, proofread, and edit documents and communications.5.tClient Interaction:otAct as a point of contact for internal and external clients.otAddress client inquiries and concerns promptly and professionally.otMaintain a high level of customer service.6.tRecord Maintenance:otMaintain electronic and paper records, ensuring information is organized and easily accessible.otImplement and manage filing systems for efficient record-keeping.7.tData Management:otEnsure data accuracy and integrity.8.tPolicy and Procedure Updates:otUpdate and maintain office policies and procedures.otEnsure compliance with company standards and regulations.otCommunicate changes to relevant parties.9.tAMC Tracking:otUpdate and create AMC (Annual Maintenance Contract) trackers.otMonitor and track the status of AMC services.otEnsure timely execution and completion of AMC tasks.10.tService Tracking:otMaintain detailed records of all service activities.otTrack service schedules and ensure adherence to timelines.11.tInvoice Cross-Referencing:otCross-reference invoices for suppliers and contractors.otResolve discrepancies in a timely manner.12.tFile and Folder Organization:otOrganize and maintain files and folders, both electronic and paper-based.13.tAdministrative Support:otProvide general administrative support to the facility management team.otAssist in the preparation of presentations, reports, and other documents.otManage office supplies and inventory.Qualifications:•tProficient in English; additional languages are an advantage.•tStrong organizational and multitasking skills.•tExcellent communication and interpersonal skills.•tProficiency in Microsoft Office Suite (Word, Excel, Outlook).•tPrevious experience in an administrative or similar role is preferred.To Apply:Please submit your resume and any supporting documents to +971563544775 with the subject line
